The Challenge: Getting a Response Cold emailing is tough. Most emails end up in the trash because they look generic. My goal was to contact ~1,000 potential clients but make every single email feel like it was written just for them.
The Solution: Personalization at Scale I realized I couldn't write 1,000 emails by hand, but I couldn't just send a template either. I built a process to get the best of both worlds:
Finding the Right People: I used SmartScout and Apollo.io to find brands and, more importantly, the actual decision-makers. I skipped the generic "support@" emails to avoid getting stuck in customer service filters.
Doing the Homework: I didn't want to go in blind. I had Virtual Assistants and AI agents research each lead and put specific details about their brand into a spreadsheet.
Writing the Emails: I used GenAI to read that spreadsheet and write a custom message for every single person.
The Follow-Up: I used GMass to send the emails. If they didn't reply, the system automatically sent a polite follow-up a few days later. This step alone doubled my replies.
The Results
Volume: Sent about 1,000 emails.
Engagement: Got a 50% Open Rate and a 15% Reply Rate (industry average is usually 1-3%).
Sales: Converted ~2% of these cold leads into paying customers.
What I Learned
Effort Wins: It’s hard to stand out when everyone is doing the same thing. The only way to win is to do the work competitors won't do, like researching every single person before hitting send.
Value Over Volume: People don't hate email; they hate spam. When I actually offered something of value that solved a problem they had, they were happy to talk.
Resilience: Cold outreach can be demoralizing. Getting told "no" (or getting ignored) is part of the game. I learned not to take it personally and just focus on improving the process.
